As an Executive Assistant, your responsibilities will include performing various tasks in administrative support for the upper executive level(s).
• Supporting preparation of reports and presentations to executive council and other key stakeholders.
• Owning various administrative processes including procurement, invoice tracking, requisitions and organization charts.
• Key records maintenance, compiling data for reports, administrative tasks associated with the budget process.
• Scheduling appointments and meetings.
• Heavy Outlook meetings and schedules.
• Answering/screening/routing telephone calls.
• Preparing expense reports, editing executive presentations.
• Coordinate travel arrangements.
• Works on assignments that are complex in nature and require considerable judgment, initiative, and technical/specialized knowledge to resolve problems and/or develop recommended solutions.
• Maintains confidential and specialized files and/or records as well as perceives and deals with sensitive matters while maintaining strict confidentiality.
• Screens calls, prioritizes mail and maintains follow-up system to ensure completion of each task or project.
• Processes travel requests and itineraries for employees to attend meetings, conferences, consortiums and conventions. This includes registrations, accommodations, transportation, and reimbursement of expenses.
• Applies extensive knowledge of the job skills, company policies and procedures to complete complex, specialized assignments/tasks in creative and effective ways.
• Work is completed with minimal supervision and assignments may be completed without established procedures.
